Employer Administrator Update #32
The Permission Access Agreement deadline has now passed. Please read on for important information about how to manage cardholders who did not accept.
What is the Permission Access Agreement (PAA)? The PAA provides information about what type of data is collected about a cardholder for the RIW Program, how it gets used, shared and destroyed. You can follow these links to read more about the Permission Access Agreement (PAA) and the RIW Privacy Policy.
What was the deadline? All RIW cardholders had to accept the PAA by 30 June 2020. What happens if a cardholder did not accept the PAA?
If a cardholder did not accept the PAA by 30 June 2020, then a leave date of 30 June 2020 was applied to their employment and association relationships. This means the cardholder no longer meets the minimum requirements to hold an active RIW card as they no longer have a primary employer. Minimum requirements for holding an active RIW card are detailed further in this article.
To make their profile active again, a new employment request will need to be sent to the cardholder, which they can accept in myRIW after first accepting the PAA. This provides the necessary consent for a cardholder’s personal information to be managed in the RIW System as per the conditions in the PAA.
For more information about sending employment requests, please refer to our article on how to send an employment request to an existing RIW cardholder.
If my company has lost cardholders, will this change my company subscription tier?
No. Even if your company has cardholders who did not accept the PAA by the deadline, the company subscription tier will not change. All companies with RIW cardholders are subject to a simple six-tier structure for calculating the annual company subscription fee. Pricing is determined by the number of RIW cardholders employed by the company at 31 March, which is reviewed annually on a rolling basis. This is
detailed in our Company Registration – Terms and Conditions.
How are cardholders being notified? Active cardholders with primary employers who did not accept the PAA by the deadline have been emailed with instructions on how to reactivate their profile. This will involve them contacting their employers and asking that an employment request be sent.
